Position Overview:

This role offers vital administrative assistance within the Office of EEO/AA, primarily supporting the Chief of EEO/AA.

Key Responsibilities:

  • Execute administrative duties for the Chief of EEO/AA, including conducting research and drafting correspondence and reports.
  • Efficiently manage the Chief's dynamic calendar, adapting to changing priorities.
  • Oversee incoming correspondence, assessing the necessity for the Chief's attention, and coordinating appropriate responses.
  • Draft letters and memos, as well as manage correspondence on behalf of the Chief.
  • Maintain an organized electronic filing system for correspondence.
  • Coordinate business travel arrangements for staff and manage travel expense reconciliations.
  • Collaborate with internal teams on referrals, reports, projects, and information requests.
  • Provide logistical support for special projects and initiatives as required.
  • Oversee bi-weekly timecard approvals for the Office of EEO/AA personnel.

Qualifications:

A Bachelor's degree in Business Administration or a related field, accompanied by three (3) years of progressively responsible experience in office administration, particularly in an executive setting. One (1) year of closely related experience may substitute for each year of required education.

Skills and Competencies:

  • Exceptional verbal and written communication skills.
  • Ability to meet deadlines, manage multiple tasks, and prioritize effectively.
  • Discretion in handling confidential information.
  • Team-oriented mindset.
  • Proficient in Outlook, Oracle, Kronos, and P-Card usage is preferred.
  • Experience with external agencies is advantageous.
  • Flexibility in working hours is necessary.
