The Office of Finance at Seton Hall University plays a pivotal role in orchestrating the financial strategies that underpin the institution's operational framework, encompassing areas such as accounting, budgeting, and fiscal reporting.

The Administrative Coordinator collaborates closely with the Director of Budget and Finance, providing essential support in the management and organization of financial processes.


Key Responsibilities:


Financial Oversight: Manage the bill payment procedures, maintain familiarity with budgetary classifications, and ensure the systematic collection and organization of data required for budget preparation. Generate specialized budget reports and profiles for the Director and departmental budget overseers, ensuring all tasks are completed within specified timelines while maintaining a high level of accuracy.


Human Resources Coordination: Liaise with the Human Resources Department to facilitate the onboarding process for adjunct faculty, including the preparation of necessary documentation such as Faculty Activation Forms and I9 verifications. Assist in the submission of various salary adjustment forms and personnel action documents.
Procurement Assistance: Support the Director in various procurement activities, including invoice processing, requisition generation, travel expense report compilation, and journal entry creation. A solid understanding of procurement policies is essential to provide guidance to departmental leaders.
Additional Duties: Oversee the management of the Faculty travel and research budget, assist in managing restricted, agency, and grant accounts, and provide administrative support for special projects and reports as needed. Collaborate across multiple departments to fulfill additional responsibilities as assigned.

Qualifications:
Required: Bachelor's Degree; 3-5 years of experience in higher education, particularly in accounts payable/receivable, with a foundational understanding of HR processes. Proficiency in Microsoft Office Suite, especially Excel, is essential.

Desired: Familiarity with Ellucian Banner software.
