Overview:

The Administrative Support Specialist is essential in delivering clerical and operational assistance to facilitate the efficient functioning of a designated department.

Key Responsibilities:
  • Handle incoming calls, greet visitors, arrange appointments, prepare documents, generate reports, manage filing, scanning, and faxing tasks.
  • Welcome and assist guests, coordinate deliveries, serve as a Scribe during meetings, and support administrative duties including processing purchase orders, invoices, and tracking expenses.
  • Collaborate with departmental administrative personnel to organize meetings, catering, and events, as well as compile reports and presentations.
  • Manage and distribute mail, provide clerical assistance to department staff, and aid in timecard adjustments and troubleshooting office equipment.
  • Perform any additional tasks as assigned by the department.
Qualifications:
  • High School Diploma or equivalent
  • At least 1 year of relevant experience in office support or administrative roles
Skills and Competencies:
  • Strong written and verbal communication skills, with proficiency in English
  • Excellent organizational skills and meticulous attention to detail
  • Proficient in Microsoft Office Suite
  • Ability to maintain confidentiality
Interactions:

This position requires interaction with various departments, internal staff, external vendors, and medical personnel.

Physical Demands:

Involves extended periods of desk work, phone communication, computer use, essential hearing and near vision acuity, capability to lift up to 20 pounds, and occasional bending.

Work Environment:

Positioned in a well-lit office environment, subject to varying indoor temperatures.
