Job Overview

LHH Recruitment Solutions is collaborating with a corporate entity seeking an Office Support Specialist to enhance their team. This is a full-time, on-site position offering a competitive hourly wage based on prior experience.

Position Summary: The Office Support Specialist is integral to maintaining efficient business operations by delivering a range of administrative tasks and assistance to designated teams and locations.

Key Responsibilities:

  • Calendar & Travel Coordination: Oversee and organize calendars, manage office space bookings, and arrange travel logistics.
  • Document Management: Create, format, edit, and proofread business communications, including emails, presentations, and general office correspondence.
  • Administrative Assistance: Act as a liaison for internal clients regarding administrative procedures, ensuring quality control and effective record management.
  • Client Engagement Support: Aid in managing client engagement setups, which includes conducting client research, processing vendor forms, entering data into CRM systems, and coordinating electronic files.
  • Meeting & Event Planning: Assist in the organization and setup of internal meetings and events.
  • Client Deliverables Production: Support the creation of client deliverables such as reports, proposals, and agreements.
  • Data Management: Help with time and expense reporting for teams.
  • Client Communication: Facilitate communication with internal and external clients, manage phone inquiries, and ensure proper communication flow with client service personnel.
  • Onboarding Assistance: Participate in the onboarding process for new administrative staff, providing training and addressing inquiries.
  • Office Services Support: Offer backup assistance, including managing phone calls.

Qualifications:

  • High School Diploma or GED is required.
  • A minimum of 1 year of relevant administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent verbal and written communication skills.
  • Ability to perform tasks efficiently, adhere to deadlines, and keep team members informed of progress.
  • Strong attention to detail.

Compensation: Competitive hourly rate based on experience.
