Job Summary

The Evolution Group LLC is seeking a highly organized and detail-oriented individual to join our Administrative Team as an Administrative Assistant. This role will provide administrative support to the Director of Operations and the Executive Director, as well as work closely with insurance companies, patients, and counselors to ensure accurate and timely billing and reimbursement for behavioral health services.

Key Responsibilities
  • Project Coordination: Collaborate and coordinate details related to conferences, trainings, seminars, and other events.
  • Insurance Verification: Review and verify patient insurance information, including eligibility and benefits, on a monthly basis or as needed.
  • Billing and Reimbursement: Coordinate with counselors to ensure accurate and timely billing of medical services.
  • Client Inquiries: Answer patient inquiries related to insurance coverage and billing.
  • Record Keeping: Maintain accurate and up-to-date patient records and billing information.
  • Compliance: Stay current on insurance policies and regulations to ensure compliance.
  • Claims Submission: Submit claims to insurance companies and follow up on unpaid claims.
  • Communication: Answer phone calls, respond to emails and voicemails, and treat clients with respect and dignity while maintaining client confidentiality.
  • Client Records: Maintain all clients' service records in accordance with the guidelines set forth by the Evolution Group LLC.
  • Correspondence: Correspond with outside agencies through faxes, emails, and phone calls to provide information on upcoming trainings or training opportunities.
  • Team Collaboration: Communicate and coordinate with clinicians, Administrative Lead, and Director of Operations regarding client, administrative, and public relation matters.
  • Financial Management: Maintain client financial records and take payments.
