Job Overview

Position Title: Executive Administrative Coordinator

Compensation: $52,000.00 annually, commensurate with experience

Employment Type: Full-Time - 40 hours per week

Working Hours: Monday to Friday, 8:30 AM - 5:00 PM

The successful candidate will possess a minimum of three (3) years of experience in providing administrative support. An Associate's degree (AA) or equivalent from a two-year college or technical institution is preferred.


Leisure World of Maryland Corporation (LWMC) is a distinguished property management organization overseeing a private, age-restricted community that encompasses numerous community associations and extensive Trust operations.

This role is situated within a residential high-rise condominium in the Leisure World Community, where the selected individual will assist the Property Manager in the daily operations of the Mutual.

This position necessitates a customer-centric approach to effectively address a diverse range of inquiries from owners, residents, renters, and contractors.


Key Responsibilities:

  • Welcome scheduled visitors and guide them to the appropriate area or personnel.
  • Manage incoming calls for the Property Manager; coordinate conference calls and meetings as required.
  • Process and route incoming correspondence, ensuring relevant files are attached for responses needed from the Property Manager.
  • Prepare outgoing mail and communications, including emails and faxes.
  • Log and prepare service requests for maintenance and housekeeping tasks, ensuring timely completion to the satisfaction of the requesting party.
  • Attend Board of Directors meetings as the Recording Secretary, documenting official minutes.
  • Support the Property Manager by assisting with committee work, attending committee meetings as Recording Secretary, and preparing official minutes as directed.
  • Maintain and update the Mutual's business files and records, including tracking monthly invoices to ensure timely payments and easy document retrieval.
  • Create and manage comprehensive records for all owners, residents, and renters, ensuring accessibility and accuracy.
  • Provide updated resident information to relevant departments for inclusion in information databases.
  • Coordinate all resident move-in and move-out processes in accordance with the Mutual's established Rules and Regulations.
