The successful candidate will play a crucial role in providing personalized executive assistance, acting as the primary liaison for both internal and external stakeholders regarding all aspects of Corporate Marketing.

The Administrative Coordinator should possess a creative mindset and thrive in a small, mission-driven environment that emphasizes relationship-building and community engagement. The ideal candidate will demonstrate sound judgment in various situations, coupled with strong written and verbal communication, organizational, and administrative skills. The ability to juggle multiple priorities while maintaining a balanced approach is essential. This role requires independence in managing projects from inception to completion, often under tight deadlines and handling sensitive information with the utmost discretion.

Key Responsibilities:

  • Manage a diverse range of administrative tasks for the AVP of Communications, including overseeing a busy calendar of meetings and events, processing expense reports and invoices, drafting correspondence, and organizing detailed agendas while documenting project-related meetings.
  • Engage directly with business unit leaders and corporate departments on behalf of the AVP of Communications, addressing matters related to the Corporate Marketing department's initiatives.
  • Research, prioritize, and follow up on incoming issues directed to the AVP of Communications, particularly those of a sensitive nature, determining the best course of action or response.
  • Facilitate effective communication between the Corporate Marketing department and other internal departments, maintaining professionalism to foster credibility and trust.
  • Collaborate closely with the AVP of Communications to keep them informed of upcoming commitments and responsibilities, providing timely updates on relevant issues.
  • Ensure the successful completion of critical deliverables, including monitoring project timelines, updating corporate calendars, and managing payments for events and sponsorships.
  • Prioritize competing needs efficiently, handling matters proactively and ensuring projects are completed successfully, often under deadline pressures.
  • Perform additional relevant duties as assigned.

Minimum Qualifications:

The ideal candidate will possess one to three years of administrative experience, with a Bachelor's Degree strongly preferred. A strong financial acumen is necessary for managing expense reconciliation and invoice processing. Candidates should exhibit a high level of professionalism, along with exceptional organizational and interpersonal skills, capable of interacting with individuals at all levels and from diverse backgrounds. The ability to maintain organization while managing multiple tasks and competing priorities, along with exercising judgment and discretion, is required. Proficiency in Microsoft Office Suite, including PowerPoint, Word, Excel, and Outlook, is essential. We seek a candidate who is adaptable, quick to learn new systems, and possesses proactive problem-solving skills, bringing positivity and resourcefulness to the role.
