Position Overview

The City Clerk's Office is seeking a dedicated individual for the role of Deputy City Clerk II (Records Management). This pivotal position is essential to the Records Management Division, where you will be responsible for overseeing the comprehensive records management program and the document imaging system for the city.

Key Responsibilities

- Plan, organize, and manage the city-wide records management initiatives.
- Address complex and sensitive requests, including those under the Public Records Act.
- Maintain and update computer databases for efficient records retrieval.
- Supervise and develop staff within the division.
- Collaborate on the agenda review process, ensuring compliance with internal procedures and regulations.
- Create procedural manuals and provide training to employees and the public regarding access to public information.

Qualifications

Applicants should possess a combination of education and experience that equips them with the necessary knowledge and skills. A typical qualification includes:

- A Bachelor's degree in Public Administration, Business Administration, or a related field.
- A minimum of three years of progressively responsible experience in a City Clerk's Office or similar governmental environment, focusing on records management.
- One year of supervisory experience is preferred.

Licenses and Certifications

- Valid Class C California Driver's License.
- Notary Public License (to be obtained prior to the end of the probationary period).
- Certification as a Certified Municipal Clerk (CMC) and/or Certified Records Manager (CRM) is highly desirable.

Skills and Attributes

The ideal candidate will demonstrate:
- Strong knowledge of electronic records systems and document digitization.
- Experience in project management.
- Familiarity with federal, state, and local laws regarding records management.
- Exceptional organizational skills and attention to detail.
- A customer service-oriented approach.
