Job Summary

LHH Recruitment Solutions is seeking an experienced Administrative Assistant to join our team. As an Administrative Assistant, you will be responsible for providing administrative support to our office, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Manage accounts payable and accounts receivable, ensuring timely and accurate processing.
  • Handle bookkeeping and monthly bank reconciliations in QuickBooks, maintaining accurate financial records.
  • Coordinate the distribution of architectural plans and specifications to bid list groups, ensuring receipt of bids by the due date.
  • Prepare builder draw request forms and update draw schedules of projects.
  • Interact with vendors and customers, setting up vendor, customer, and contractor accounts in QuickBooks.
  • Handle vendor credit applications and ensure compliance with regulatory requirements.
  • Manage workers' compensation quarterly payroll reports and annual audits.
  • Prepare payroll, including quarterly and yearly payroll reports to be filed with the IRS and TWC.
  • Ensure employee compliance by obtaining receipts for expenses made on company credit cards.
  • Coordinate with a CPA firm for annual income tax reports and prepare work-in-progress and completed projects reports.
  • Prepare and file Sales & Use Tax quarterly reports for sister companies.
  • Upload all invoices into the Wrike portal.
  • Handle all payments and bank deposits, including monthly bank transfers between bank accounts.
  • Organize physical documents and files.
  • Order office supplies.
Requirements
  • High School Diploma or equivalent.
  • Highly organized and detail-oriented.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Proficient in QuickBooks.
  • Minimum 4-5 years of administrative assistant or office manager experience.
  • Experience processing A/P and/or A/R.
Pay Details

$60,000.00 to $65,000.00 per year.
