Overview:

We are seeking a dedicated Front Desk Receptionist to join our team. This role is essential in providing a welcoming environment for visitors and ensuring smooth operations at the front office.

Key Responsibilities:

  • Welcome guests and clients with a friendly demeanor, ensuring a professional atmosphere.
  • Determine the purpose of visits and guide individuals to their respective destinations.
  • Answer incoming calls promptly, directing them as necessary while maintaining a positive tone.
  • Manage the telephone switchboard, facilitating communication and taking messages as required.
  • Oversee the appearance of the lobby, coordinating with maintenance to uphold cleanliness and organization.
  • Schedule and coordinate meetings and appointments efficiently.
  • Provide information regarding office services and departmental locations.
  • Handle the transmission of documents through various means, including electronic and physical methods.
  • Sort and distribute mail and packages, ensuring timely delivery.
  • Maintain inventory of office supplies and materials.
  • Assist with administrative tasks, including document scanning and report preparation.
  • Organize and maintain filing systems for records management.

Qualifications:

  • Minimum of 1 year of experience in administrative support or a similar role.
  • Strong verbal and written communication skills.
  • Highly organized with attention to detail.
  • Customer service-oriented with a professional attitude.
  • Proficient in MS Outlook, MS Word, and MS Excel.
