Job Summary

We are seeking a highly skilled and experienced Front Office Manager to join our team at QC Kinetix Dallas/Houston. As a key member of our clinic operations, you will be responsible for ensuring the smooth day-to-day functioning of our front office, providing exceptional patient experience, and supporting our medical team in delivering high-quality patient care.

Key Responsibilities
  • Patient Scheduling and Coordination
    • Confirm and schedule patient appointments, cancellations, and rescheduling requests in a timely and efficient manner.
    • Ensure accurate and up-to-date patient information is maintained in our CRM system.
  • Front Office Operations
    • Manage the front office workflow, including patient check-in, check-out, and transactions.
    • Process patient payments and handle billing inquiries.
  • Patient Experience and Support
    • Provide exceptional customer service to patients, addressing their concerns and needs in a professional and courteous manner.
    • Assist patients with financing options, including CareCredit and other payment plans.
  • Administrative Tasks
    • Perform administrative duties, such as data entry, inventory management, and supply ordering.
    • Maintain accurate and up-to-date records, including patient files and inventory logs.
  • Team Collaboration
    • Work closely with our medical team to ensure seamless communication and coordination of patient care.
    • Participate in ongoing training and professional development to stay up-to-date on industry best practices and company policies.
Requirements
  • Education and Experience
    • High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
    • Minimum 2 years of experience in a medical office or front office setting.
  • Skills and Qualifications
    • Excellent communication and interpersonal skills.
    • Ability to work in a fast-paced environment and prioritize multiple tasks.
    • Proficiency in CRM software and other administrative systems.
    • Strong attention to detail and organizational skills.
