Role Summary

The Front Office Coordinator plays a vital role as the first point of contact within our organization. This position is essential in creating a welcoming atmosphere for all visitors and clients. Additionally, the Coordinator is responsible for managing the intake process for women seeking access to our programs and services.


Key Responsibilities

  • Utilizes independent judgment and discretion in handling significant matters related to clients and office functions, demonstrating strong decision-making and problem-solving abilities.
  • Manages all incoming calls during business hours, ensuring the reception area is adequately staffed at all times.
  • Employs a trauma-informed approach to conduct phone intakes with potential clients, assessing their eligibility for our various programs and services.
  • Coordinates scheduling for initial appointments with Case Managers for new clients.
  • Oversees the office security system to ensure safe entry for members and guests.
  • Responsible for procuring and maintaining office and kitchen supplies.
  • Reports maintenance issues to the appropriate parties and ensures the front office and kitchen remain organized and tidy.
  • Handles the collection and distribution of mail and packages.
  • Provides administrative support to various departments, including executive leadership.
  • Documents and manages in-kind donations received.

Qualifications and Skills Required

  • Bachelor's degree is required (preferably in Social Work or a related field).
  • Outstanding interpersonal skills with a strong focus on customer service.
  • Professional and courteous telephone communication skills.
  • Warm, inviting, and nonjudgmental attitude.
  • High level of discretion and ability to maintain confidentiality to protect client privacy.
  • Intermediate proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong team player with a willingness to assist others.
