Job Overview

Ivyhill Technologies LLC is currently in search of dedicated Patient Appointment Coordinators. The successful candidates will be responsible for managing medical appointment scheduling within a government healthcare environment.

Key Responsibilities:

  • Schedule medical appointments while verifying and documenting patient eligibility through various communication methods.
  • Assist the Primary Care Manager by processing appointment requests and ensuring timely access to care.
  • Handle a high volume of incoming calls, averaging between 80,000 to 100,000 monthly.
  • Maintain an efficient call handling time, ensuring each call is managed within an average of 5 minutes.
  • Proactively schedule a significant number of appointments, targeting 60,000 to 100,000 monthly.
  • Conduct outbound calls, aiming for 45,000 to 60,000 each month.
  • Achieve a high answer rate for inbound calls, with an average response time of 90 seconds.
  • Minimize call abandonment rates to below 8% of total incoming calls.
  • Ensure callers wait less than 45 seconds on average for assistance.
  • Document all interactions accurately, including declined appointments, to maintain comprehensive patient records.
  • Collaborate with various healthcare facilities to coordinate appointments and provide necessary documentation.
  • Conduct assessments of appointment availability to offer patients the earliest possible options.
  • Verify patient registration details and correct any discrepancies prior to scheduling.
  • Maintain compliance with established protocols and guidelines throughout the scheduling process.
  • Provide feedback on patient access issues to management for continuous improvement.

Qualifications:

  • U.S. Citizenship is required.
  • A High School Diploma or equivalent is necessary.
  • At least six months of experience in healthcare administration or a related field is preferred.
  • Basic understanding of medical terminology and healthcare systems is essential.
  • Strong customer service and organizational skills are a must.
  • Excellent verbal and written communication abilities are required.
  • Proficiency in Microsoft Office applications and familiarity with electronic health record systems is necessary.
