Key Responsibilities:
  • Professionally handles and directs incoming phone calls
  • Accurately records messages and relays them to appropriate staff promptly
  • Regularly checks voicemail and ensures timely follow-up on all inquiries
  • Schedules patient appointments efficiently; gathers complete medical, demographic, and insurance information, and informs patients about Practice Financial Policy; directs calls to Billing for insurance-related questions
  • Clarifies insurance benefits for patients
  • Manages the cancellation list to fill open appointment slots
  • Ensures patient sign-in procedures are followed
  • Verifies that patients have necessary referrals
  • Prepares new patient documentation and flowsheets
  • Ensures new patients complete required forms and sign consent and financial agreements prior to their visit; organizes all necessary documents in the medical record
  • Enters patient data accurately into the computer system; registers new patients and updates existing patient information with any changes
  • Notifies therapists or aides of patient readiness promptly; seeks assistance as needed to maintain efficient patient flow
  • Updates printed schedules with any changes and promptly informs billing of new patient additions
  • Collects patient payments, including co-pays and past due balances; documents transactions in the system and provides receipts
  • Submits all cash and checks to the Practice Administrator for deposit preparation
  • Schedules follow-up appointments as required
  • Performs office opening and closing tasks, including tidying the waiting area
  • Coordinates orders for administrative supplies
  • Handles patient rescheduling when therapists have schedule changes
  • Conducts basic administrative duties such as scanning and faxing documents
Qualifications:
  • High School Diploma or equivalent
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and remain composed in high-pressure situations
  • Proficient in using a multi-line phone system and billing software
  • Demonstrates keyboard proficiency
  • Familiarity with medical terminology
