Position Overview:
One Federal Solution is in search of a skilled Administrative Operations Coordinator to deliver extensive administrative support for a government client. The successful candidate will possess a robust background in administrative functions, exceptional organizational capabilities, and a solid understanding of federal protocols.

Key Responsibilities:
  • Facilitate services within the Intramural Research Administration Branch, including the coordination and preparation of various documents such as travel authorizations, approvals, vouchers, professional service orders, sponsored travel requests, outside activities, official duty memoranda, training requests, individual/mass mailings, correspondence, reports, and various forms.
  • Act as the primary HR liaison, providing guidance on appointment and pay mechanisms, recruitment tools, and reviewing/preparing HR packages for submission.
  • Process personnel actions, including FTE, non-FTEs, Guest Researchers, and Special Volunteers. Manage onboarding and offboarding processes while remaining informed on personnel policies.
  • Organize and coordinate domestic, foreign, sponsored, and local travel for staff, ensuring compliance with applicable guidelines using federal travel systems. Collaborate with relevant offices on VISA, passport, and international travel matters.
  • Monitor HR actions and coordinate with the HR office to expedite cases.
  • Provide insights on personnel activities, appointment status, benefits, promotional and training opportunities, ensuring documentation and approvals for various HR actions are in place.
  • Review financial reports, address discrepancies, monitor expenditures, and track the utilization of allocated FTEs. Offer advice on fund requirements and initiate appropriate requests.
  • Utilize an online tracking system to procure office and general-purpose equipment and supplies. Coordinate maintenance contracts and assist with procurement documentation.
  • Support timekeeping responsibilities, manage office communications, maintain office files and equipment, and employ software applications to generate reports, maintain databases, and track administrative activities.
  • Coordinate the monthly on-call schedule for consultant physicians and serve as the credentialing coordinator, ensuring compliance with guidelines and validation of credentials.

Qualifications:
  • A minimum of four (4) years of relevant experience.
  • Prior experience in providing administrative support within a team environment, preferably in a federal or research context.
  • Proficiency in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).
  • Familiarity with federal procurement, travel, and administrative systems.
  • Strong understanding of standard office administrative procedures.
  • Meticulous attention to detail and outstanding organizational skills.
  • Excellent communication and interpersonal abilities.
  • Capability to manage multiple projects concurrently and work both collaboratively and independently.
  • Strong aptitude for identifying and anticipating needs.
