Property Management Support Specialist

The Property Management Support Specialist plays a crucial role in assisting the daily operations of the property management team and the designated property manager.
This position is centered around providing support to the Property Manager in all management-related tasks concerning the assigned property. We seek a dedicated and enthusiastic team member with strong communication and interpersonal skills.

The ideal candidate will take great pride in their work, demonstrating meticulous attention to detail and creativity.
Applicants should have a minimum of one year of experience in the property management sector, alongside two years in a customer service role.

Key Responsibilities:
- Excellent phone etiquette and customer service skills are essential.
- Maintain a log of phone communications.
- Process applications for rentals, purchases, and stock transfers.
- Coordinate scheduling and vendor communications.
- Draft letters, memos, reports, and manage contracts and associated documentation.
- Oversee database management.
- Address daily office requirements.
- Provide exceptional customer service with thorough follow-up via email, mail, and phone.
- Handle accounts payable and receivable.
- Maintain tenant records, leases, and contact details using property management software.
- Research and implement new systems to enhance executive operations.
- Communicate maintenance work orders to ensure timely task completion.
Requirements:
- Bachelor's Degree (preferred but not required).
- Valid driver's license.
- Strong financial acumen, with the ability to read, interpret, and create spreadsheets, flow charts, and graphs.
- Experience in contract negotiation and facility management.
- Outstanding written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Familiarity with communities, property management, and homeowners associations (preferred).
- Commitment to ongoing education.
- Self-motivated, proactive, detail-oriented, and a collaborative team player.
- Strong time management and prioritization skills.
