Job Overview

Key Responsibilities

  • Act as the primary point of contact, facilitating communication between board members, residents, and service providers.
  • Ensure compliance with the association's governing documents, rules, and regulations.
  • Oversee the management of contracts, including bidding processes, renewals, and specifications.
  • Conduct thorough property inspections to identify violations and assess the condition of units and buildings.
  • Issue work orders and monitor their completion, ensuring effective communication between contractors and board members.
  • Develop and implement regular maintenance schedules for each property.
  • Create and manage budgets, assisting with audit requirements and tracking operational expenses.
  • Handle late fee assessments and delinquency statements, support legal actions, and manage payment plans.
  • Coordinate newsletters, website updates, and correspondence with board members and residents, including notifications and welcome packages.
  • Manage all aspects of insurance claims.
  • Perform administrative duties and oversee general office management tasks.
  • Plan, organize, and facilitate monthly board meetings.
  • Be available for emergency calls, providing on-site responses when necessary.
  • Conduct regular site visits to assigned properties.
  • Execute additional tasks as assigned.

Qualifications

  • A Bachelor’s degree or 3-5 years of relevant experience is required.
  • Preferred designations include CPM, PCAM, ARM, AMS, or CMCA.
  • Basic understanding of financial statements is essential.
  • Must be detail-oriented and highly organized.
  • Proficient in Microsoft Office applications.
  • Strong verbal and written communication skills are necessary.
