Customer Service Representative

About the Role

As a vital member of our team, the Customer Service Representative serves as the primary point of contact for clients, addressing inquiries related to our products, order specifications, timelines, and other essential elements of the customer-supplier relationship. This role collaborates closely with various departments, including Sales, Engineering, Manufacturing, and Shipping, to ensure the accuracy of purchase orders, product availability, and prompt processing.

Key Responsibilities:

  1. Maintain professionalism and a positive demeanor while assisting customers and colleagues.
  2. Respond promptly and courteously to customer inquiries via phone and email.
  3. Process orders and related transactions using the Safe Fleet ERP system (Syteline) efficiently and accurately.
  4. Resolve customer complaints by identifying issues and providing empathetic solutions.
  5. Investigate problems and determine the best course of action to ensure customer satisfaction.
  6. Provide established pricing to customers and collaborate with Product Management for pricing adjustments.
  7. Coordinate with Planning/Scheduling to expedite orders as requested by customers.
  8. Keep customers informed about the status of their orders, especially if there are delays.
  9. Manage billing issues with assistance from the finance team.
  10. Maintain accurate documentation of customer interactions and order details.
  11. Prepare shipping documents as required for customer deliveries.
  12. Identify opportunities for process improvements and contribute to operational efficiency.
  13. Participate in cross-training initiatives within the customer service department.
  14. Perform additional duties as assigned.

Qualifications:

High School Diploma or equivalent is required, with a minimum of one year of relevant experience. An Associate's degree or equivalent from a two-year college or technical school is preferred.

Work Environment:

The work environment is typically moderate in noise level, with occasional exposure to manufacturing or warehouse conditions. Regular communication via telephone and email is essential.

Work Hours:

Standard hours are Monday through Friday, with potential for occasional overtime.
