Position Overview:

The Office Coordinator plays a vital role in delivering administrative and clerical support to the Director of Environmental Services. This department is dedicated to offering technical assistance, training, and resources to small communities regarding safe drinking water and effective wastewater management. As a key partner in the national Rural Community Assistance Partnership (RCAP), Communities Unlimited collaborates with various regional non-profit organizations to extend these essential services across multiple states and territories.

Key Responsibilities:

  • Manage daily communications, including emails and phone calls, ensuring messages are directed to the appropriate individuals or departments.
  • Assist in drafting, editing, and proofreading a variety of documents such as reports, correspondence, training materials, and grant application narratives.
  • Provide general clerical support, including filing (both electronic and paper), scanning, and copying, while cross-training with other team members as necessary.
  • Offer administrative assistance to program staff across various states for diverse activities and projects as assigned by the Program Director.
  • Conduct data entry and review in a cloud-based database to monitor program operations, requiring efficient keyboarding skills.
  • Organize and schedule routine activities, including meetings and travel arrangements for the Director, while tracking deadlines and sending reminders.
  • Maintain punctual and regular attendance to ensure consistent support availability.
  • Generate reports from time sheets and data collection systems as requested by the Program Director or Quality Assurance Project Manager.
  • Engage in special projects and additional duties as assigned by the Program Director.

Required Skills and Qualifications:

  • A high school diploma or GED is mandatory.
  • At least 6 months of relevant work experience is required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) is essential, with a requirement to demonstrate proficiency in at least two of these applications.
  • Ability to type at a minimum of 36 words per minute with 96% accuracy is required; higher proficiency is preferred.
  • Experience with database entry or 10-key operations is advantageous.
  • Willingness to travel occasionally for staff meetings or conferences, with travel expenses reimbursed according to company policy.
