Position Overview

Kimbel Mechanical Systems is in search of an Administrative Coordinator who embodies organization, discretion, self-motivation, adaptability, and emotional intelligence. The successful candidate will be expected to remain flexible while fulfilling the following key responsibilities:

  • Efficiently manage time, anticipate needs, and prioritize tasks by gathering, researching, and analyzing relevant information in advance;
  • Assist in the planning and execution of meetings, teleconferences, team retreats, and various organizational events;
  • Prepare documents including Word, Excel, and PowerPoint presentations, agendas, reports, and special projects to support organizational objectives;
  • Oversee complex calendars and schedules, addressing any scheduling conflicts that may arise;
  • Enhance and maintain internal processes that support the executive team, aligning internal and external resources to streamline workflow;
  • Handle sensitive matters and confidential information with utmost discretion;
  • Coordinate travel logistics (flights, accommodations, and transportation) in accordance with company travel policies;
  • Screen incoming calls, accurately relay messages, and respond to inquiries by gathering and providing necessary information, while directing non-routine calls to the appropriate personnel;
  • Exhibit advanced proficiency in Microsoft Office Suite and Google Workspace.
