Overview of the RoleThe Administrative Coordinator plays a crucial role in delivering clerical and organizational support to the Director of Environmental Services. The Environmental Services program at Communities Unlimited focuses on providing technical assistance, training, and resources to small communities regarding safe drinking water and effective wastewater management. As a regional partner in the Rural Community Assistance Partnership (RCAP), Communities Unlimited collaborates with various organizations to extend these essential services across multiple states.
Successful candidates will demonstrate exceptional verbal and written communication abilities, possess strong organizational skills, and have a keen eye for detail. The role requires the ability to manage competing deadlines effectively and proficiency in Microsoft Office software and other computer applications to facilitate a range of tasks and projects.
Education and Certification RequirementsA high school diploma or GED is mandatory.
Experience and Skills RequirementsA minimum of six months of relevant work experience is necessary. Proficiency in computer applications, particularly the Microsoft Office suite (Outlook, Word, Excel, and PowerPoint), is essential. Candidates must showcase proficiency in at least two of the Microsoft Office programs listed above.
Keyboarding skills of at least 36 words per minute with 96% accuracy are required, with a preference for candidates exceeding these standards. Experience in database management or 10-key operations may also be advantageous.
Occasional travel may be necessary for staff meetings or conferences, with travel expenses reimbursed according to company policy.
Key Responsibilities- Monitor and manage communication channels (e.g., email, phone calls, letters) and ensure messages are directed to the appropriate parties or responded to as necessary.
- Assist in drafting and proofreading various documents, including reports, correspondence, training materials, and grant application narratives.
- Provide general clerical support, including filing (both electronic and paper), scanning, and copying, while cross-training with other staff as needed.
- Offer administrative assistance to program staff across multiple states for various activities and projects as assigned by the Program Director.
- Conduct data entry and review in a cloud-based database used for tracking program operations, requiring efficient keyboarding skills.
- Organize and schedule routine activities such as meetings, travel arrangements for the Director, and track deadlines while sending reminders for upcoming or overdue tasks.
- Maintain punctual and regular attendance to ensure consistent support availability.
- Generate reports from time sheets using Microsoft Excel as requested by the Program Director or Quality Assurance Project Manager.
- Assist in generating reports from the Data Collection System (DCS) as needed.
- Engage in special projects and additional duties as assigned by the Program Director.
Proficiency in using computers, the internet, smartphones, web-based databases for data entry, and the Microsoft Office suite (including Outlook, Word, Excel, and PowerPoint) is required. Familiarity with additional software for project-related tasks may also be necessary.

Communities Unlimited provides comprehensive Medical/Dental/Vision benefits, with the organization covering a significant portion of the costs. Additional benefits include company-paid long-term disability, automatic 401K contributions, 401K matching, 12 paid holidays, and two weeks of paid vacation upon hire (prorated based on the hire date). New hires begin accumulating sick leave immediately at a rate of 8 hours per month. Travel expenses are reimbursed for all employees.
