Key Responsibilities:

  • Provide comprehensive administrative support to the Human Resources Department and senior management.
  • Manage both internal and external communications, ensuring the confidentiality of sensitive information.
  • Coordinate travel arrangements and logistics for executives and other team members as required.
  • Maintain and update calendars, databases, and confidential files.
  • Organize meetings and appointments, preparing necessary agendas and materials.
  • Collaborate with the Financial Officer on budget-related tasks and monitor financial documentation.
  • Oversee complex projects, events, and programs, ensuring smooth execution.
  • Compile and coordinate reports, records, and relevant data.
  • Facilitate office operations and direct staff activities to enhance productivity.
  • Ensure compliance with mandatory training requirements for all employees.
  • Prepare regular reports and conduct audits as needed.
  • Perform additional duties as assigned.

Qualifications:

  • Exceptional communication skills with the ability to work independently and efficiently.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong customer service and telephone etiquette.
  • Able to manage multiple tasks in a dynamic environment.
  • Bilingual in English and Spanish is preferred.

Reasoning Skills:

  • Must effectively interact with all management levels, demonstrating excellent written and verbal communication skills. Ability to maintain confidentiality with sensitive information is essential.
