Job Overview:


We are in search of a meticulous and highly organized Senior Executive Administrator to deliver extensive administrative and logistical assistance to our Executive Team. This role involves collaboration with our Executive Business Partner to ensure the seamless functioning of the expanding Executive Administration team, thereby contributing to the overall success of our organization.

Nikkiso's Clean Energy & Industrial Gases Group is experiencing global growth, and this newly established position will be pivotal in preparing business updates and communications for our parent company in Japan, as well as for our Executives and Group employees worldwide.

Moreover, this role will provide Executive Assistant support to key members of the Executive Leadership Team and will serve as a backup to the CEO when necessary.


Salary Range:
$60,837 to $83,353

Responsibilities:
• Collaborate closely with the Executive Business Partner and Executive Management team to prepare, review, and approve expense reports.

• Assist with calendar management, including scheduling appointments and meetings, and organizing meals. Prioritize requests and effectively manage time commitments while ensuring timely communication and confirmation of appointments.

• Coordinate travel arrangements, including visa applications.

• Extract data directly from business systems such as Salesforce and ERPs to produce and prepare analyses and updates as required.

• Ensure the accuracy of data and analyses through the application of validation techniques, working with other departments to gather relevant information.

• Collaborate with business staff to thoroughly understand the needs that require support.

• Assist the Executive Business Partner with project management tasks, including research, data analysis, and report generation.

• Facilitate communication between executives, internal departments, and external stakeholders.

Qualifications:
• Bachelor's degree preferred

• Minimum of 5 years' experience in business analysis, as an Executive Assistant, or in a similar capacity

• Familiarity with Concur and Salesforce is advantageous

• Exceptional written communication skills in English are required.

• Experience working with international data is a plus

• Proficient in general administration; executive support experience is a plus

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Strong organizational and time management skills, with the ability to prioritize multiple tasks.
