Job Overview:


We are looking for a highly organized individual to take on the role of Executive Administrative Coordinator to the Associate Director of the Getty Conservation Institute.

Your responsibilities will encompass a wide range of administrative support tasks, including intricate scheduling, managing communications, arranging travel, and processing expense reports.

As a vital member of the Administration Department, you will collaborate with all staff at the Getty Conservation Institute, facilitating meetings, events, and special projects.

This position will be based at our office.

Initially, it will require full-time office attendance, with the possibility of discussing a telework arrangement after a training and orientation period, subject to supervisor approval.

Typically, staff with approved telework arrangements at the Getty Conservation Institute are present in the office more than half of the time.

The Getty Conservation Institute is dedicated to enhancing the preservation of the world's cultural heritage, including art objects, museum collections, historic buildings, and archaeological sites.

Our office is located at the Getty Center, and our work often takes us to heritage sites worldwide, including regions in South America, Asia, and the Middle East, where we collaborate with local heritage professionals.

Our team comprises experts from various fields, including architecture, archaeology, conservation, information science, chemistry, engineering, operations management, administration, and communications.

Key Responsibilities:
As an Executive Administrative Coordinator, you will support the Associate Director's work, which includes:

Managing a complex calendar, which entails scheduling meetings amidst competing requests and multiple priorities.


Organizing meetings for the Associate Director and the Administration Department staff, as well as coordinating events involving the Getty Conservation Institute team.


Overseeing all aspects of business travel for the Associate Director and, when necessary, the Administration Department staff, which includes preparing travel documents, booking flights and accommodations, gathering background materials, arranging transportation, processing visas, and preparing expense reports in line with Getty policies.


Assisting in the administration and tracking of contracts, processing invoices for payment, helping prepare budget materials, and monitoring expenditures.


Developing a thorough understanding of Getty policies and procedures to effectively handle a variety of complex administrative tasks; serving as a resource for others within the Administration Department and throughout the Getty Conservation Institute who have inquiries about policies or need assistance resolving issues.


Representing the Associate Director while engaging with individuals at all organizational levels, fostering effective working relationships with colleagues across Getty.

Regularly communicating with colleagues both inside and outside of Getty on behalf of the Associate Director. In all tasks, you will manage and access confidential information; discretion, professionalism, and sound judgment are essential.

Overseeing special projects as assigned by the Associate Director and performing additional duties as required.

Qualifications:
High school diploma/GED; Bachelor's degree preferred. A minimum of 4-6 years of relevant experience in administrative support is required.

Knowledge, Skills, and Abilities:
Exceptional organizational skills and meticulous attention to detail.

High level of discretion and exemplary judgment.

Able to prioritize tasks, follow through on projects and assignments, and meet deadlines.

Effective and professional communication skills, both written and verbal.

Self-motivated, capable of anticipating emerging tasks and resolving issues.

Proficient in Microsoft Office applications; familiarity with PeopleSoft and Concur is advantageous.
