Role Overview:
The Client Care Coordinator plays a crucial role in supporting the daily operations of a medical spa. Responsibilities include managing telephone communications, scheduling appointments, client registration, and overseeing financial transactions.

Key Responsibilities:
  • Deliver exceptional client care and customer service.
  • Handle a high volume of inbound phone calls efficiently.
  • Manage appointment scheduling, including moving and canceling appointments.
  • Promote the clinic’s treatments, services, and products, as well as any available programs and promotions.
  • Provide accurate and timely responses to all guest inquiries, ensuring complete satisfaction.
  • Process client transactions accurately.
  • Maintain composure while managing multiple responsibilities, always prioritizing client needs.
  • Perform opening and closing duties for the clinic.
  • Provide basic administrative support, including mailing, faxing, sorting, typing, and filing.
  • Uphold a professional and clean work environment and appearance.
  • Ensure confidentiality in all guest matters in accordance with company policy.
  • Assist with additional duties and projects as assigned by management.

Qualifications:
  • High School Diploma or GED required; Associate's degree preferred.
  • Minimum of 1 year of customer service experience.
  • Exceptional customer service skills.
  • Ability to thrive in a fast-paced environment.
  • Strong multitasking, prioritization, and organizational skills with a high level of accuracy.
  • Team player mentality.
  • Proficient in Internet, Word, Excel, Outlook, and quick to learn new software.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and accuracy.
  • Demonstrates good judgment, strong character, ethics, and high performance standards.
  • Experience in a medical office or familiarity with cosmetic procedures and skincare products is a plus.
  • Experience with Zenoti or other POS systems preferred but not required.

Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional standing, walking, and using hands and fingers for various tasks.
  • Ability to occasionally lift and/or move up to 20 pounds, and occasionally lift/move up to 30 pounds.

Compensation:
Pay range is competitive and based on candidate experience, clinic size, and market conditions.
