Aviation Service Coordinator

Position Summary:
The Aviation Service Coordinator plays a crucial role in supporting the Aircraft Services Manager by managing all administrative functions within the facility. This includes overseeing the initiation and completion of work orders in the production control system. Additionally, the position entails generating accurate invoices for work orders.
Key Responsibilities:
- Maintain a professional demeanor while interacting with clients and suppliers, as this role often serves as the initial point of contact for our organization.
- Initiate and finalize aircraft work orders efficiently.
- Ensure timely billing and payment processes for work orders.
- Manage inventory through shipping, receiving, stocking, and counting.
- Oversee wire transfer transactions.
- Ensure internal invoices are settled promptly.
- Organize and file completed work orders.
- Create and dispatch purchase orders to suppliers.
- Prepare weekly status reports for the Aircraft Services Manager.
- Handle incoming calls and direct them to the appropriate personnel.
- Accurately process employee payroll time.
- Transport passengers and crew members to designated locations.
- Other duties as assigned.
Physical Requirements:
- Occasional lifting of items weighing up to 30 pounds.
Work Environment:
- Industrial/Hangar setting.
- Office environment.
Education Requirements:
- High School Diploma or GED.
Experience Requirements:
- Previous experience in a Repair Station is preferred.
- Experience in a Fixed Base Operation (FBO) is advantageous.
- Strong interpersonal skills are essential due to frequent interactions with clients and suppliers.
- Proficient computer skills are required, including Microsoft Office, particularly Excel.
- Exceptional customer service, organizational, and communication skills are necessary.
- Detail-oriented with the ability to manage multiple tasks in a fast-paced environment.
- Familiarity with aviation maintenance software is a plus.
- Flexibility to work early or late as workload demands, including occasional weekends.
Additional Requirements:
- Must pass background and drug screening tests.
- Must have a clean driving record.
