RTA US is currently looking for a Executive Administrative Coordinator for a contract role. This position involves supporting senior executives in a dynamic and fast-paced environment.
Compensation: Competitive hourly rate
Position Type: Contract
Key Responsibilities:
- Manage the Executive's calendar, ensuring effective scheduling of meetings and travel arrangements.
- Coordinate both internal and external meetings, including conferences and corporate events.
- Prepare the Executive for meetings by gathering necessary materials and information.
- Handle expense reports and ensure timely submission of reimbursements.
- Support the team with administrative tasks related to corporate initiatives.
- Oversee travel logistics and scheduling.
- Maintain confidentiality and build relationships with internal and external stakeholders.
- Provide calendar management support for the broader team.
- Document meeting minutes and represent the Executive in meetings when necessary.
- Assist in creating corporate documents and presentations as required.
- Maintain databases for key organizational data.
- Collaborate with Finance to track budgetary allocations.
- Support research projects as needed.
- Adapt responsibilities as required to ensure smooth operations.
Required Skills:
- 1-3 years of experience in administrative support, preferably in a creative setting.
- Bachelor's degree from an accredited institution.
- Strong verbal and written communication skills with a focus on customer service.
- Ability to remain composed under pressure.
- Proficient in managing multiple tasks in a fast-paced environment.
- Effective prioritization and task management skills.
- Flexibility to adapt to changing priorities.
- Team-oriented with the ability to collaborate across all levels of the organization.
- Capable of processing complex information and exercising sound judgment.
- Exceptional organizational skills to manage tight deadlines and confidential information.
- Advanced proficiency in Microsoft Office Suite and project management software.
