As an integral part of our organization, you will play a vital role in ensuring the smooth operation of our office. Your responsibilities will include:

  • Collecting and organizing property documentation, including service agreements and inventory records, ensuring they are up-to-date and properly stored in digital formats.
  • Overseeing property-related correspondence sent to the corporate headquarters, ensuring timely completion and return.
  • Maintaining accurate storage of Property Management reports on designated drives.
  • Generating and submitting lender reports to financial institutions and senior management.
  • Updating and managing departmental spreadsheets.
  • Coordinating the collection of necessary signatures from relevant parties.
  • Distributing letters and official communications.
  • Monitoring construction contract timelines and progress.
  • Assisting with various ad-hoc projects as required.
  • Processing payables for site approval, including expenses and construction costs.
  • Planning and coordinating our annual Leadership Conference, with travel commitments in April.

Candidate Profile:

  • 1-3 years of experience in an administrative support role, ideally within a real estate investment context.
  • Proven experience in supporting teams and departments effectively.
  • Exceptional organizational skills with a knack for problem-solving and systematizing processes.
  • Ability to handle multiple tasks efficiently, thrive under pressure, and meet deadlines.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • Detail-oriented with strong office skills, including typing and proofreading.
  • Excellent communication skills, both written and verbal, along with strong interpersonal abilities.
  • A positive attitude and a collaborative spirit are essential.
  • Ability to navigate conflicts effectively while maintaining a harmonious work environment.
