Job Overview

Stratus Building Solutions of Charlotte is seeking a skilled Administrative Coordinator to deliver comprehensive administrative and clerical assistance to our organization. The ideal candidate will possess 3-5+ years of experience in office administration and/or bookkeeping, demonstrating proficiency with technology, exceptional organizational skills, attention to detail, and strong interpersonal communication abilities. A professional demeanor, teamwork orientation, and the capacity to excel in a dynamic environment while upholding confidentiality are essential.

Key Responsibilities:
  • Provide administrative assistance including filing, managing phone communications, responding to emails, and preparing documents/presentations.
  • Schedule meetings, perform data entry, and handle incoming mail processing.
  • Oversee inventory management for office supplies and equipment, ensuring timely orders.
  • Assist with financial tasks such as posting daily deposits and processing accounts payable and receivable transactions.
  • Engage with clients regarding billing inquiries and discrepancies, initiating collections on overdue accounts.
  • Manage customer consumables program, including order entry and delivery confirmation.
  • Collaborate with operations and sales teams to ensure all necessary documentation for transactions is completed.
  • Support unit franchise sales and development efforts.
  • Work alongside marketing for social media and other communication initiatives.
  • Perform additional duties as assigned by management.
Qualifications:
  • Fluency in English and Spanish is preferred.
  • 3-5+ years of experience in an administrative role within an office setting.
  • Exceptional written and verbal communication skills in both languages.
  • Proficient in Microsoft Office Suite, QuickBooks Online, and CRM systems (e.g., HubSpot).
  • Strong organizational and time management skills with the ability to handle multiple projects simultaneously.
  • Customer service-oriented with a professional attitude and a willingness to assist clients.
  • Ability to lift, bend, and carry items weighing up to 25 lbs as needed.
  • Basic bookkeeping/accounting knowledge is advantageous.
  • Prior experience in a franchise environment is a plus.
