Position Overview: This role encompasses advanced and essential administrative functions to support the principal and the administrative team within an educational institution. The individual will engage in a variety of office management tasks, ensuring efficient operations and effective communication within the school environment.

Key Responsibilities:

  • Generate reports, handbooks, and meeting agendas.
  • Utilize standard office equipment, including computers, photocopiers, and telecommunication devices.
  • Respond to critical situations, maintaining safety protocols.
  • Oversee copier maintenance and manage staff usage effectively.
  • Compile and submit financial reports, ensuring accuracy and compliance with established guidelines.
  • Assist in the administration of office operations, contributing to workflow improvements and procedural enhancements.
  • Draft, proofread, and manage a variety of documents and correspondence.
  • Act as a confidential secretary to the principal, managing correspondence and electronic communications.
  • Conduct special projects and prepare comprehensive reports as required.
  • Organize and maintain all school records and files, ensuring accessibility and confidentiality.
  • Coordinate office activities and assist in the recruitment of administrative staff.
  • Support safety audits and compliance checks.
  • Train and supervise temporary staff and student assistants as needed.
  • Manage incoming communications, directing inquiries to appropriate personnel.
  • Foster positive relationships with staff, students, and parents, facilitating effective communication.
  • Coordinate school opening and closing procedures for staff and students.
  • Maintain calendars for activities and meetings, liaising with various departments as necessary.
  • Ensure adherence to all relevant regulations and guidelines.
  • Serve as the primary contact for educational privacy regulations.
  • Provide reception services, assisting visitors and managing inquiries.
  • Mentor support staff across different locations.
  • Cross-train in various administrative and financial procedures.
  • Manage student enrollment and withdrawal processes.
  • Handle free/reduced lunch applications and maintain student records.
  • Engage with parents and students during the registration process.
  • Manage supply inventory and distribution.
  • Assist with student health needs and medication administration.
  • Compile data for property loss and manage attendance records.
  • Execute related duties as assigned.

Financial Responsibilities:

  • Conduct monthly reconciliations of financial records and prepare for audits.
  • Manage receipts and deposits for various accounts.
  • Oversee budget transfers and payroll processing.
  • Maintain detailed financial records and resolve discrepancies.
  • Train staff on financial procedures and compliance.
  • Supervise fundraising activities and financial transactions.

Qualifications:

  • High School diploma with additional secretarial training.
  • Minimum of three years of secretarial experience, including bookkeeping.
  • Preferred: Associate's degree and five years of experience in an educational setting.

  • Proficiency in relevant software applications.
