ROLE OVERVIEW


The Senior Administrative Coordinator plays a vital role in delivering high-level administrative support to C-suite executives, ensuring the smooth operation of the office. This position demands a blend of organizational, communication, and interpersonal skills, along with the ability to manage confidential information with the utmost discretion.


KEY RESPONSIBILITIES

  • Manage and maintain an accurate calendar of meetings and commitments for the C-suite team.
  • Draft and edit correspondence, memos, and documents on behalf of executives.
  • Assist in planning and coordinating special projects, events, or initiatives.
  • Collaborate with the Chief of Staff to the President & CEO on matters requiring joint C-suite and CEO participation to enhance office functionality and professionalism.
  • Coordinate travel arrangements, itineraries, and accommodation logistics.
  • Screen and direct phone calls, emails, and other communications appropriately.
  • Ensure the C-suite receives briefing materials for each event or meeting by coordinating with their direct reports or other staff; brief senior leadership on relevant scheduling activities and requests.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Schedule all meetings and briefings involving the C-suite with their respective teams or external partners.
  • Provide scheduling, note-taking, and technical support for internal committees led by C-suite executives.
  • Support the C-suite on complex matters including travel arrangements, drafting agendas, coordinating routine reports, and completing expense reports.
  • Provide technical support to C-suite executives.
  • Offer ad hoc administrative support to the operations team.
  • Maintain contact lists and various databases.
  • Organize and maintain office files, both physical and digital.
  • Handle confidential information with the highest level of discretion. Perform other duties as assigned.

EXPERIENCE AND EDUCATION

  • High school diploma required.
  • Five (5) years of experience providing administrative support to top executives or C-suite executives, with extensive scheduling experience.

QUALIFICATIONS

  • Ability to work effectively as part of a team and independently with minimal supervision.
  • Proficient in preparing and maintaining records, files, and reports, with attention to detail.
  • Strong communication skills, both verbal and written, to convey information clearly.
  • Ability to manage challenging and stressful situations professionally.
  • Skill in identifying problems and evaluating options to implement solutions.
  • Strong organizational skills to prioritize work and meet multiple deadlines.
  • Proficient in Microsoft Office suite and Salesforce.
  • Interest in advocacy, government relations, and nonprofit policy issues.
  • Awareness of diversity, inclusion, and equity's impact on social change, with a willingness to engage in related professional development.
  • Maintain a high level of professionalism at all times.
