Job Overview

We are seeking a highly skilled and experienced Executive Administrator to join our team at Prequel Solutions. This role will provide administrative support to our executive board of directors and be responsible for managing schedules, coordinating meetings, and supervising administrative assistants.

The ideal candidate will have a proven track record of providing exceptional administrative support in a nonprofit or human services environment. They will possess strong organizational and time management skills, with the ability to handle multiple priorities and maintain confidentiality.

The Executive Administrator will be responsible for:

Calendar and Schedule Management
  • Managing the CEO's complex calendar, including scheduling meetings and arranging travel.
  • Coordinating schedules for the executive team and board meetings.
Board and Meeting Coordination
  • Organizing and coordinating all executive and board meetings, including agenda preparation and logistics.
  • Preparing board presentations, taking notes during meetings, and preparing minutes for distribution.
Confidentiality and Communication
  • Handling sensitive and confidential information with discretion.
  • Preparing and editing high-level correspondence, presentations, and reports for the executive team.
Liaison and Stakeholder Management
  • Acting as a liaison between the CEO, executive team, board members, and key internal and external stakeholders.
  • Facilitating communication between departments, ensuring seamless collaboration.
Governance and Compliance
  • Assisting with board governance matters and ensuring compliance with corporate policies.
  • Maintaining organized executive files and records, ensuring accuracy and security.
Office Management
  • Acting as office manager, overseeing office-related duties such as supply management and facility coordination.
  • Ensuring smooth day-to-day office operations and addressing any office-related needs or issues.
Administrative Supervision
  • Supervising and guiding administrative assistants, ensuring consistent support across departments.
  • Developing and implementing administrative procedures to improve efficiency and productivity.
Project and Initiative Management
  • Managing special projects and initiatives assigned by the CEO and executive team.

Qualifications:

  • Proven experience as an executive assistant or executive administrator, preferably in a nonprofit or human services environment.
  • Strong proficiency in Microsoft PowerPoint and Excel.
  • Excellent organizational and time management skills, with the ability to handle multiple priorities.
  • High level of discretion and ability to manage sensitive information.
  • Strong written and verbal communication skills.
  • Experience in office management and supervision of administrative staff.
  • Ability to work independently and collaboratively within a team.
