The Office Administrator plays a pivotal role in ensuring seamless day-to-day operations within KVM Door Systems' office. This position provides crucial administrative support to various departments, including coordination of office functions, record maintenance, and assistance with billing and customer service.
Key Responsibilities- Administrative Support:
- Assist with document preparation, filing, and data entry.
- Manage correspondence, including emails and phone calls.
- Billing and Record Management:
- Perform light invoicing tasks, including generating and submitting invoices.
- Maintain accurate records in the billing and customer management systems.
- Reconcile accounts and follow up on outstanding payments as directed.
- Customer Service:
- Act as the primary point of contact for clients and vendors, providing professional and friendly communication.
- Coordination:
- Foster effective inter-departmental communication to ensure projects remain on track.
- Support the receiving process for service requests when needed.
Estimated Salary Range: $55,000 - $70,000 per annum, depending on experience.
Qualifications and Requirements- Proven experience in office administration, preferably in the construction or service industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with billing portals.
- Excellent organizational and multitasking skills.
- Strong communication skills, both verbal and written.
- Familiarity with AIA billing is a plus but not required (training can be provided).
