The ideal candidate is detail-oriented, organized, and able to multitask in a fast-paced construction industry environment, supporting the administrative needs of various departments.

Estimated Salary: $50,000 - $65,000 per year

This role plays a key part in ensuring smooth day-to-day operations within our office, including coordination of office functions, maintaining records, and assisting with billing and customer service.

Responsibilities:

  • Administrative Support:
    • Assist with document preparation, filing, and data entry.
    • Manage correspondence, including emails and phone calls.
  • Billing and Record Management:
    • Light Invoicing including generating and submitting invoices.
    • Maintain accurate records in the billing and customer management systems.
    • Reconcile accounts and follow up on outstanding payments as directed.
  • Customer Service:
    • Serve as the first point of contact for clients and vendors, providing professional and friendly communication.
  • Coordination:
    • Facilitate inter-departmental communication to ensure projects are on track.
    • Assist with receiving service requests when needed.

Qualifications:

  • Proven experience in office administration, preferably in the construction or service industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with billing portals.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both verbal and written.
  • Familiarity with AIA billing is a plus but not required (training can be provided).
