Position Title: Operations Assistant at True Legal Support

About Us: True Legal Support is a leading provider of attorney services, specializing in support for personal injury law firms throughout California. We offer a comprehensive range of services designed to assist legal professionals from the initiation of civil cases to their resolution.

Role Summary: We are looking for a detail-oriented and proactive Operations Assistant to play a vital role in managing and processing orders for our attorney clients. This position is essential in ensuring the smooth operation of our legal support services.

Key Responsibilities:

  • E-Filing and Court Submissions: Assist in the preparation and submission of legal documents through electronic filing and traditional methods in California Superior Courts.
  • Document Preparation: Review and prepare client orders with a strong focus on accuracy and detail.
  • Order Management: Oversee the dispatching of court filing orders and service of process requests, ensuring timely and precise execution.
  • Service of Process Coordination: Support the execution of service of process orders, including data entry, document preparation, and tracking the status of pending orders.
  • Data Management: Engage in data entry tasks and assist in the preparation of legal documents, maintaining high standards of accuracy.
  • Scheduling and Coordination: Facilitate the scheduling of court reporters, interpreters, videographers, and other legal professionals.
  • Subpoena Coordination: Assist in managing deposition officer subpoenas and the production of business records.
  • Medical Record Management: Help coordinate medical record requests and manage HIPAA compliance for client records.
  • Legal Document Drafting: Provide assistance in drafting legal documents, ensuring adherence to established formats and standards.
  • Client Support: Deliver outstanding customer service to attorneys and paralegals through effective communication.

Qualifications:

  • Minimum of 3 years of experience in electronic filing and/or service of process.
  • Proficient in Outlook 365, Legal Connect, Tristar, and either Nitro or Adobe Acrobat.
  • Strong knowledge of personal injury law.
  • Ability to prioritize tasks and respond effectively.
  • Excellent written and verbal communication skills with the capacity to manage multiple tasks.
  • A collaborative team player in a fast-paced environment.
  • Familiarity with court filing procedures, service of process, and civil litigation terminology.

Job Type: Full-time

Expected Work Hours: 40 hours per week

Schedule: Monday to Friday

Education: Associate degree preferred

Work Environment: Remote
