Position Overview

Salary: $19-$23 per Hour

As an Administrative Operations Coordinator at Doty Pruett Wilson, PC, you will be integral to the seamless operation of our office. Your role will involve a variety of tasks focused on document oversight, project management, and administrative support. You will assist our accounting team by overseeing documentation, facilitating client interactions, and ensuring a well-organized office space. The ideal candidate will be meticulous, capable of handling multiple tasks, and thrive in a collaborative environment.

Key Responsibilities:

  • Document Oversight:
    • Retrieve tax documents utilizing our software systems.
    • Transmit tax documents securely through designated portals.
    • Compile and dispatch tax returns to clients.
    • Digitally scan and integrate tax documents into tax returns.
  • Project Management:
    • Collaborate closely with accounting personnel to oversee project workflows.
    • Ensure timely completion of all projects and communicate any potential challenges to the team.
  • Administrative Assistance:
    • Conduct general administrative tasks such as answering calls, managing correspondence via mail and email, filing, and scheduling appointments.
    • Uphold a tidy and organized office atmosphere, including maintaining cleanliness in communal areas.

  • Capacity to manage multiple tasks and prioritize effectively.
  • Strong communication and interpersonal skills.
  • Proficient in document management software and secure communication tools.
  • Ability to work collaboratively within a team and adapt to varying daily responsibilities.
  • Committed to meeting deadlines with a strong sense of accountability.

Software Proficiency:

  • Advanced skills in Microsoft Office Suite are required.
  • Familiarity with CCH Axcess is preferred.

Experience Requirements:

  • Minimum of two (2) years of administrative experience in a professional services environment OR
  • One (1) year of administrative experience in a professional services setting with an associate degree.
