At Claire Myers Consulting, we are seeking a highly skilled and organized Administrative Assistant to join our team and support our Founder.


The ideal candidate will have a strong background in supporting roles within the Financial Services industry, with excellent client service experience and strong communication skills.


Key Responsibilities:


  • Anticipate the needs of the Advisor to ensure a seamless flow of work throughout the day.
  • Maintain an efficient and organized calendar to allow the Advisor to focus on building client relationships.
  • Manage the flow of communication between the Advisor and team members using technology.
  • Research new prospects and potential clients for the Advisor before client meetings.
  • Identify additional prospecting opportunities to drive business growth.
  • Provide accountability to team members to ensure they are prepared for client meetings and focused on meeting team goals.
  • Read, monitor, and delegate the Advisor's email to the team when necessary.
  • Act as a liaison between the shared services team and the Advisor.
  • Oversee client appreciation initiatives, including gifts and events.
  • Organize and maintain client and business files.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Prepare and process all paperwork needed for insurance accounts and ongoing insurance services.
  • Maintain client case files, performance reports, account forms, and other required paperwork.
  • Collect all materials for quarterly and annual reviews.
  • Respond to back-office inquiries.


Requirements:


  • 2+ years of experience in a supporting role within the Financial Services industry.
  • Client service experience with excellent oral and written communication skills.
  • Demonstrated organizational skills, ability to multitask, and time management skills with the ability to set priorities and meet deadlines.
  • Ability to maintain confidentiality.
  • Life & Health Insurance licensed (preferred but not required).
  • Investment registration expected completion by 1 year anniversary.


Compensation:


  • $45,000-60,000 base salary with annual bonus.
