Position Summary

The Senior Administrative Coordinator plays a vital role in providing comprehensive administrative assistance to the leadership team at Fidelity & Guaranty Life Insurance Company. This position is essential for ensuring the smooth functioning of various operations within the organization.

Key Responsibilities

  • Oversees the scheduling and management of executive calendars, including the organization of team schedules and the coordination of meetings, Town Halls, and Committee sessions, often collaborating with other administrative professionals to manage complex scheduling needs.
  • Acts as a key point of contact for arranging logistics for both onsite and offsite meetings, which may involve coordinating with facilities for scheduling, catering services, processing payments, and working closely with the corporate events team.
  • Ensures that all necessary equipment and materials are available for leaders by managing procurement, maintenance, and repair processes.
  • Maintains current distribution lists for the leadership team to facilitate effective communication.
  • Assists in the preparation of meeting agendas, takes detailed meeting minutes, and organizes the storage of meeting documentation. Responsible for documenting action items and managing communication channels.
  • Supports the creation of presentations in PowerPoint, collaborating with relevant leaders to ensure content accuracy and relevance.
  • Prepares expense reports using the Concur System and oversees the review of travel and entertainment expenses.
  • Manages the processing of invoices to guarantee timely and precise payments.
  • Develops and executes communication strategies for the leadership team, providing strategic insights and recommendations for content development.
  • Provides additional support for meetings based in Des Moines, including coordination of meeting spaces, catering, and logistical arrangements.
  • Handles electronic communications for leaders, including emails and instant messaging.
  • Creates onboarding materials for new team members as necessary.

Qualifications and Education

  • High School Diploma required; Bachelor's Degree preferred.
  • A minimum of 5 years of experience in providing executive-level administrative support.
  • At least 2 years of experience supporting a multi-person team is preferred.

Skills and Competencies

  • Ability to thrive in a fast-paced and dynamic work environment.
  • Proficient in managing competing priorities from multiple senior leaders.
  • Exceptional verbal and written communication skills.
  • Strong attention to detail and effective time management abilities.
  • Proficient in Microsoft Office Suite, particularly PowerPoint and Word.
