Key Responsibilities:
- Task Management: Distribute administrative duties among support personnel based on their competencies, availability, and workload.
- Prioritization: Assess the urgency and significance of various assignments and organize them accordingly.
- Process Optimization: Identify and rectify inefficiencies in administrative operations, collaborating with the HR director to devise strategies that enhance workflow and productivity.
- Quality Assurance: Oversee the standard of work being executed and provide regular updates to the HR director.
- Communication: Serve as the primary contact for administrative support staff regarding inquiries and requests related to coverage and workflow.
- Team Coordination: Facilitate communication among team members to ensure collaboration on administrative tasks and projects.
- Conflict Resolution: Collaborate with the HR director to address conflicts and areas of concern.
- Employee Support: Assist employees with HR policies and procedures, contributing to a positive workplace atmosphere.
- Onboarding & Training: Act as a liaison for new administrative hires, coordinating their initial training schedule and providing support to enhance their skills.
- Backup Support: This role will also serve as a fully trained administrative assistant, offering coverage during staffing shortages or when additional projects arise.
Qualifications:
- Minimum of 2 years of experience as a legal assistant or paralegal.
- Strong administrative capabilities.
- Experience in workload coordination or supervisory roles is preferred but not mandatory.
- Exceptional verbal and written communication skills.
- Outstanding organizational skills and meticulous attention to detail.
- Excellent interpersonal abilities.
- Capacity to adapt to shifting priorities and engage with diverse personalities.
- Ability to maintain confidentiality and manage sensitive information.
- Proficiency in MS Office Suite; prior experience with legal software is advantageous.
- Paralegal or Legal Assistant certification is preferred but not essential.
