Position Overview:

The Global Food Institute, a collaborative initiative of The George Washington University, is dedicated to enhancing global food policy and tackling pressing issues through the strategic use of food. The Institute operates on three foundational pillars: Policy, Innovation, and Humanity. It aims to generate pioneering research that informs and refines food policies worldwide, foster innovative technologies with an entrepreneurial mindset, and facilitate essential discussions regarding the influence of food on human health and the environment.

Role Summary:

The Global Food Institute is in search of a Senior Administrative Coordinator to provide comprehensive support to the Executive Director. This role is crucial in managing a dynamic and demanding schedule, requiring a high level of discretion and adaptability to changing priorities. The Coordinator will oversee the calendar for the Institute and the Executive Director, prioritizing and organizing meetings, conferences, and appointments with minimal oversight. Additionally, this position will serve as the primary contact for the Institute, handling requests for the Executive Director's participation in various engagements.

Key Responsibilities:

  • Facilitate scheduling and coordination of meetings for the Executive Director and other Institute leaders, ensuring effective preparation for both in-person and virtual gatherings.
  • Assist in addressing administrative matters efficiently, tracking progress until resolution.
  • Prepare, edit, and proofread documents and financial reports, collaborating with the Finance Director to ensure compliance with budgetary processes.
  • Manage procurement processes and submit expense reports for faculty and staff.
  • Coordinate logistics for events, including venue selection, catering, and necessary equipment.
  • Organize travel arrangements for faculty and staff as required.
  • Attend events outside of regular business hours to support the Executive Director and the Institute's operational needs.
  • Work closely with the Program Manager to ensure seamless operations and support for Institute events.
  • Manage correspondence for the Executive Director and maintain a comprehensive database of contacts.

  • Familiarity with financial documentation and reimbursement processes.
  • Ability to navigate complex organizational structures and build effective relationships.

Additional Information:

This position is based on-site and may offer some flexibility for remote work as determined by the Executive Director. The role requires a Bachelor's degree in a relevant field along with two years of professional experience, or a Master's degree in a related area. Equivalent combinations of education and experience will also be considered.
