Program Overview

The Religion & Society Program at the Aspen Institute recognizes the significance of our multi-religious, multi-racial, and multi-ethnic world. Launched in 2012, this program drives change by convening, catalyzing, and researching the intersections of religion, culture, and justice. Our goal is to enhance the understanding of religion's role in promoting equity and the common good, bridging the gap between ideas and tangible impact.

Position Summary

The Operations Manager will operate under the direction of the Deputy Director, providing centralized operational, financial, and administrative oversight for the Religion & Society Program (RSP). This role demands exceptional time management and communication abilities, advanced proficiency in Excel, a solid understanding of basic information technology and database systems, as well as familiarity with accounting and bookkeeping practices.

Key Responsibilities

Financial Management

  • Oversee program budget and accounting processes.
  • Prepare annual budget drafts and suggest revisions throughout the fiscal year.
  • Handle expense reimbursements and external payments.
  • Maintain up-to-date internal accounting processes using budget software.
  • Update forecasts in financial planning tools.
  • Prepare grant budgets and financial reports for review.

Administrative Duties

  • Conduct operations audits and recommend workflow improvements.
  • Manage daily program budget activities, including expense tracking and vendor payments.
  • Maintain contact information for network members and track key activities.
  • Assist in scheduling meetings and developing agendas.
  • Track donations and manage acknowledgment processes.
  • Organize and maintain program databases.

Operational Support

  • Manage overarching systems for project management and file storage.
  • Oversee contact lists and information strategies in CRM software.
  • Track projects using project management tools.
  • Coordinate team meetings and manage calendars for senior staff.
  • Provide general administrative support as needed.
  • Mentor interns or junior staff on relevant projects.

Event Coordination

  • Organize travel and accommodation for staff attending events.
  • Manage logistics for virtual and in-person programming.
  • Assist in the preparation of meeting materials and participant lists.
  • Serve as a liaison for on-site meetings.
  • Support the planning of major public forums.

Qualifications

  • Bachelor's degree required.
  • 8-10 years of experience in administrative or operations roles.
  • Proven ability to thrive in a fast-paced environment.
  • Exceptional organizational skills with a focus on time management and attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite, particularly Excel.
  • Experience with project management and event planning.
  • Willingness to travel as needed.
