Position Overview:

The Human Resources Division at the International Food Policy Research Institute (IFPRI) is seeking a dedicated full-time Benefits & Global Mobility Coordinator. This role is pivotal in delivering comprehensive benefits, relocation, repatriation, and expatriate support within a dynamic work environment. The coordinator will be an integral part of the HR Division, engaging in various essential functions related to benefits management and global mobility. This position is a two-year, full-time, exempt, renewable appointment.

Key Responsibilities

Benefits Management
  • Act as the primary point of contact for employees regarding health and welfare insurance benefits and transit programs, overseeing enrollments, modifications, and terminations.
  • Facilitate changes in benefits deductions within the system, ensuring all necessary documentation is accurately prepared.
  • Maintain and update vendor-managed benefit portals to reflect changes in employee enrollments.
  • Monitor retirement plan eligibility, coordinating with payroll departments to manage notices and enrollment processes.
  • Prepare necessary documentation for COBRA notifications for terminating employees.
  • Assist the Compensation & Benefits Manager with benefit-related tasks as required.
  • Organize and coordinate Benefits team events, including the Annual RISE event and employee service awards.
Global Mobility Coordination
  • Oversee all aspects of the relocation process, including initiation, tracking, and monitoring of relocations and associated benefits, while liaising with external vendors for tax, immigration, and relocation services.
  • Serve as the main contact for employees regarding relocation and expatriate benefits.
  • Collaborate with HR liaisons in field offices to manage visa and work permit applications.
  • Administer relocation and expatriate allowances, including calculations for cost of living adjustments, housing reviews, and dependent education.
  • Review and audit expense reports related to relocation and outposted benefits for compliance and accuracy.
  • Conduct quarterly audits and reconciliations of outposted allowance accounts.
  • Work closely with internal and external teams to ensure compliance with policies and enhance service delivery.
  • Regularly engage with expatriate and inpatriate staff to gather feedback for improving global mobility services.
  • Research and propose cost-effective solutions that support employee mobility, leveraging new technologies and industry standards.
  • Provide country-specific information and reports as required.
  • Perform additional duties as assigned.
Qualifications
  • Bachelor's degree with a minimum of 2 years of experience or 3-5 years of administrative experience in a fast-paced HR environment, preferably within an international organization.
  • Proven ability to communicate effectively with employees, providing HR-related information and support.
  • Strong judgment and confidentiality in handling sensitive information.
  • Excellent oral and written communication skills in English.
  • Proactive approach to HR service delivery with a strong focus on customer service.
  • Highly organized with attention to detail and the ability to manage multiple tasks under tight deadlines.
  • Ability to work collaboratively as part of an HR team and willingness to cross-train in various HR functions.
  • Strong interpersonal skills, with the ability to thrive in a multicultural environment.
  • Familiarity with US federal and state employment laws and regulations.
Preferred Qualifications
  • Proficiency in French.
  • Certifications such as SHRM-CP, PHR, or GPHR.
  • Experience with HR information systems and/or CostPoint.
Technical Skills
  • Proficient in Microsoft Office Suite.
Work Environment
  • Position requires prolonged periods of sitting with limited opportunity for movement.
  • Ability to lift up to 10 pounds.
  • Close visual acuity is necessary for tasks such as data analysis and extensive reading.
  • This role follows a hybrid work schedule, with three days in the office and two days working remotely.
Salary Range: The expected salary range for this position is between $55,600 - $68,100, taking into account experience and other job-related factors.
