Program Overview
The Religion & Society Program at the Aspen Institute recognizes the significance of our multi-religious, multi-racial, and multi-ethnic world. Launched in 2012, this program aims to ignite transformative change by convening, catalyzing, and researching the challenges and opportunities at the intersection of religion, culture, and justice. Our goal is to enhance the understanding of religion's role in promoting equity and the common good, bridging the gap between innovative ideas and tangible impact.
Basic Function
The Program Operations Coordinator will work closely with the Deputy Director to provide centralized operational, financial, and administrative management for the Religion & Society Program. We seek a professional, detail-oriented self-starter with a proven track record in delivering advanced operational and administrative support in a dynamic environment.
The ideal candidate will possess a systems-thinking approach, enabling them to view operations through a lens of structure and efficiency. They should be adept at proactively identifying and resolving operational challenges, ensuring our team operates smoothly and effectively. Strong organizational skills, flexibility, and the ability to manage multiple priorities while maintaining a keen attention to detail are essential.
Key Responsibilities
Financial Management
- Oversee program budget and accounting processes.
- Prepare annual budgets and propose adjustments throughout the fiscal year.
- Process expense reimbursements and manage external payments.
- Maintain accurate internal accounting processes.
- Update financial forecasts and prepare grant budgets for review.
Program Administration
- Conduct operational audits and recommend workflow improvements.
- Manage daily program budget activities, including expense tracking.
- Maintain contact information for program stakeholders and track engagement.
- Assist in scheduling meetings and developing agendas.
- Organize program databases and manage communications.
Operations and Administrative Support
- Enhance project management systems and recommend improvements.
- Manage team calendars and coordinate meetings.
- Provide general administrative support as needed.
- Collaborate with other departments for operational efficiency.
Event Coordination
- Oversee travel and accommodation arrangements for program staff.
- Manage logistics for virtual and in-person events.
- Assist in preparing meeting materials and coordinating on-site logistics.
Preferred Qualifications
- Bachelor's degree.
- A minimum of 8-10 years of experience in administrative or operations roles.
- Proven ability to thrive in a fast-paced environment.
- Exceptional organizational skills with a focus on time management and detail.
- Strong written and verbal communication abilities.
- Proficiency in MS Office and familiarity with project management software.
- Experience in event planning and stakeholder communication.
- Willingness to travel as required.
