Fleet Operations Specialist

Spark Power, a recognized leader in energy solutions across North America, is seeking a Fleet Administration Officer to enhance operational efficiency through proficient fleet oversight and management. This role is pivotal in managing all aspects related to fleet contracts and ensuring optimal performance of our vehicle assets.
Key Responsibilities:
- Oversee and manage the Spark Power fleet across North America, including but not limited to: Maintenance, Fuel Management, Rentals, Licensing, Incident Management, Insurance, Inventory Control, Driver Database, and Telematics Data for a fleet of approximately 600 vehicles. Assist in budget reporting for Fleet operations on a quarterly basis or as required.
- Administer all rented vehicles nationwide, ensuring compliance with Spark Power's operational standards while fostering effective communication with field teams to promote cost efficiency in the rental vehicle program.
- Manage lease agreements for all fleet vehicles in Canada and the US, including securing titles and insurance for new acquisitions while maintaining registration and insurance for existing vehicles.
- Collaborate with third-party vendors (e.g., decal providers, GPS service providers, and maintenance contractors) to ensure seamless operations.
- Maintain Fleet Management software and oversee all Fleet-related licenses, as well as tracking Maintenance and Fuel card usage.
- Ensure timely and accurate record-keeping for all fleet services.
- Adhere to and update Standard Operating Procedures (SOPs), recommending changes as necessary.
- Assist the Fleet Manager in implementing and maintaining Spark Power Fleet policies, overseeing preventative maintenance to enhance fleet efficiency.
- Proactively analyze fleet performance metrics, including lifecycle management, fuel efficiency, and cost assessments, while making recommendations for fleet optimization.
- Support the Fleet Manager in developing systematic approaches for cost savings, monitoring supplier performance, and ensuring effective sourcing; communicate findings to relevant stakeholders.
- Create a comprehensive playbook for operational input regarding new acquisitions and consolidations.
- Drive continuous improvement of Key Performance Indicators in alignment with Fleet Team objectives and company goals.
- Oversee the billing process, ensuring accuracy and compliance with contractual obligations.
- Coordinate with vendors to ensure timely and precise payment processing.
- Perform additional duties as assigned and undertake ad hoc responsibilities as needed.

- In-depth knowledge of current fleet industry trends, methodologies, and technologies.
- Certificate, Diploma, or Degree in Business, Supply Chain Management, Fleet Management, or a related field from an accredited institution.
- Proficiency in Microsoft Office Suite, particularly MS Excel, PowerPoint, and Power BI.
- 1-2 years of experience in a Fleet or related role is advantageous.
- Exceptional written, verbal, and digital communication skills, coupled with excellent customer service capabilities.
- Ability to make informed business decisions and prioritize tasks effectively.
- Strong organizational skills to manage workloads and deadlines while delegating when necessary.
- Proactive problem-solving skills with the ability to identify issues and implement corrective actions efficiently.
- Attention to detail with the capability to recognize and adapt to varying operational conditions.
