We are currently seeking a detail-oriented and proactive Body Shop Office Administrator to support our body shop functions and uphold our dedication to excellence.

Key Responsibilities:

  • Customer Engagement: Welcome and assist clients, address inquiries, and provide updates regarding repair progress. Ensure a positive experience for customers from their initial interaction through to the completion of their vehicle repairs.
  • Appointment Coordination: Organize and schedule repair appointments, oversee work orders, and monitor job progress to guarantee timely completion of repairs.
  • Administrative Support: Keep precise records of repairs, parts, and labor. Manage invoicing and respond to billing inquiries.
  • Effective Communication: Serve as a liaison among customers, body shop technicians, and other dealership departments to facilitate smooth operations and clear communication.
  • Office Organization: Ensure the office is well-organized, manage supplies, and adhere to all administrative processes accurately.
  • Data Management: Input and update information in the dealership's management system, including job specifics, customer details, and parts inventory.
  • Regulatory Compliance: Follow dealership policies, procedures, and industry regulations to maintain compliance in all operations.

Qualifications:

  • Experience: A minimum of 1-2 years in an administrative capacity within an automotive or body shop setting.
  • Skills: Excellent organizational and multitasking abilities. Strong communication and customer service skills. Proficiency in office software (e.g., Google Suites) and familiarity with dealership management systems such as CDK and CCC. Capability to manage service ROs, including opening, closing, and booking. Knowledge of payroll submission processes.
  • Education: A high school diploma or equivalent is required.
  • Personal Attributes: Detail-oriented with a strong capacity for effective time management and the ability to remain calm under pressure.
