Position Overview

The Nā Keiki O Emalia (NKOE) initiative is dedicated to offering assistance to children and adolescents experiencing grief, along with their families, to facilitate healing following the loss of a significant individual. The program provides peer support groups, facilitated by trained professionals, within educational institutions and community venues at no cost, fostering supportive connections among youth.

Objective of the Role: The Program Coordinator will oversee the daily operations, objectives, and responsibilities of the NKOE initiative. This role involves nurturing collaborative relationships with various organizations, educational institutions, and partners, ensuring the effective implementation of the program. The Coordinator will manage facilitators and volunteers, including overseeing applications and documentation, while training and upholding best practices to guarantee that all participants meet the program's standards of compassionate engagement.


Key Responsibilities:
  • Collaborate with the NKOE Program Director to design and execute activities for participants, such as peer support groups, camps, outreach initiatives, and special events. Establish and enforce policies and procedures to maintain high-quality grief support services.
  • Work closely with the Program Director to develop and manage program frameworks, including:
    • Standard Operating Procedures (SOP)
    • Curriculum modifications and communication strategies
    • Manuals for peer support services
    • Evaluation methodologies
    • Facilitator training and educational resources
  • Oversee the operations of school-based peer support initiatives, including:
    • Fostering ongoing relationships with educational authorities to promote program engagement
    • Managing contracts and documentation with partner organizations
    • Coordinating facilitator onboarding and scheduling
    • Implementing program evaluations to enhance service delivery and facilitator performance
  • Supervise volunteer and facilitator management, ensuring effective communication and accountability for program tasks and activities. This includes:
    • Recruiting and interviewing candidates for volunteer roles
    • Onboarding new volunteers while ensuring compliance with safety protocols
    • Conducting training sessions for facilitators
    • Coordinating volunteer assignments and schedules
    • Monitoring volunteer performance and conducting evaluations
    • Facilitating regular meetings to provide support and feedback
    • Forecasting staffing needs based on program requirements
    • Managing volunteer documentation in accordance with organizational standards
  • Handle administrative duties related to NKOE programs, including:
    • Conducting participant intakes to ensure timely service delivery
    • Managing support groups and ensuring quality programming
    • Collaborating with the Program Director to develop training initiatives within educational institutions
    • Leading training sessions for staff and volunteers
    • Addressing issues involving facilitators and partners while maintaining clear communication
    • Managing program inventory and coordinating resources for group facilitation
  • Engage in professional development opportunities related to grief support, including attending conferences and training sessions to enhance expertise in the field.
  • Represent the NKOE program at community outreach events, promoting grief-informed education and resources.
  • Participate in fundraising and community activities to enhance the visibility and credibility of the NKOE program.
  • Perform additional duties as assigned.

Decision-Making Authority:
  • Independently make decisions impacting departmental direction with occasional guidance from supervisors.
  • Handle routine activities autonomously within the scope of the role.

Work Environment:

The position is primarily based in an indoor office setting, with occasional outdoor responsibilities. Support groups may occur in community spaces, and travel may be required for meetings and training across various locations.


Qualifications:
  • Associate's Degree required; Bachelor's Degree preferred in fields such as counseling, psychology, or social services.
  • Minimum of 2 years of experience in non-profit management or program development is highly preferred.
  • Experience in training and development, particularly in group settings, is advantageous.
  • Background in bereavement support or working with children and families in crisis is preferred.
  • Knowledge of childhood education and development is beneficial.
