Position Overview

Capitol Companies, a comprehensive Property Management and Real Estate firm, is in search of an Office Support Specialist to assist two Community Portfolio Managers in their daily operations.


Key Responsibilities:
  • Draft and send daily correspondence to residents, vendors, and board members.
  • Manage and categorize invoices for prompt processing within our operational system.
  • Review modification applications for completeness prior to submission to the board, and follow up on decisions for proper documentation.
  • Assist in the preparation of annual budget mailers and other critical communications for community associations.
  • Conduct on-site inspections and manage projects as needed.
  • Oversee the timely completion of resale disclosure packages and update documents as required.
  • Support managers in tracking task lists for each community association.
  • Facilitate document and database management tasks.
  • Complete necessary state regulatory applications and ensure timely submissions for all community associations.
  • Update community association websites with relevant information and announcements.
  • Perform standard administrative duties as required.
  • Assist with various projects, including RFPs and task list management.
  • Maintain and update multiple spreadsheets while ensuring accurate record-keeping.
  • Manage calendars for managers, including scheduling meetings and virtual meeting details.

Qualifications:
  • 1-3 years of relevant office experience.
  • Knowledge of Community Associations (HOA/Condo) is advantageous.
  • Completion of M100 management class within the first year of employment is preferred.
  • Strong interpersonal skills to manage sensitive situations effectively.
  • Exceptional written and verbal communication abilities.
  • Demonstrated poise, tact, and diplomacy in all interactions.
  • Ability to work collaboratively and adapt to various tasks as needed.
  • Detail-oriented with strong prioritization skills.
  • Capability to thrive in a fast-paced environment while managing multiple priorities.
  • Independent work ethic with a commitment to excellence.
  • Proficient in Microsoft Word, Excel, Adobe, and Outlook.
  • Bilingual in Spanish and English is a plus, but not mandatory.
  • Excellent customer service skills, particularly with challenging clients.
