We are in search of a detail-oriented individual who excels in multitasking, provides exceptional customer service, possesses strong problem-solving abilities, and understands the diverse challenges faced by families from various backgrounds.

Role Purpose & Responsibilities:

Reporting directly to the Chief Program Officer, the Senior Administrative Coordinator delivers confidential, high-level administrative assistance, ensuring the seamless operation of the CPO's office. This position demands a highly organized professional with excellent interpersonal skills, superior writing and computer proficiency, and the capability to manage social media activities effectively.

Key Responsibilities:

Administrative Assistance:

  • Establish and maintain a systematic process for keeping the CPO updated on daily operations, messages, appointments, and tasks.
  • Oversee the CPO's calendar, arranging appointments, meetings, and conference calls.
  • Facilitate project completion through research, documentation, spreadsheet management, presentation design, and performance tracking; maintain both paper and electronic filing systems in compliance with relevant regulations.
  • Prepare agendas and minutes for meetings; develop briefing materials as necessary.
  • Generate timely, accurate, and professional correspondence, reports, and business documents.

Social Media Oversight:

  • Formulate and implement a social media strategy that aligns with the organization's objectives and the CPO's goals.
  • Create, curate, and manage content (images, videos, written) across all social media platforms.
  • Monitor social media channels for trends and engagement, providing insights to the CPO.
  • Engage with followers professionally to foster a positive online presence.
  • Collaborate with marketing and communication teams to ensure consistent branding and messaging.

Project Coordination:

  • Conduct research and analysis to define project scope, develop presentations, and monitor timelines.
  • Collaborate with management to implement projects and policies effectively.
  • Track project performance against established goals and deadlines.

Data Management and Reporting:

  • Extract and analyze data from organizational databases; conduct necessary follow-ups.
  • Prepare reports for the CPO and relevant stakeholders as needed.
  • Investigate data discrepancies and resolve issues or escalate them appropriately.

Additional Duties:

  • Provide assistance to colleagues as needed to support the organization's overall objectives.
  • Prepare materials for the CPO's presentations at board meetings and other significant events.
  • Undertake additional administrative tasks as required.
