Position Overview:

The Administrative Operations Coordinator plays a vital role in ensuring the smooth operation of the office environment under the guidance of the Operations Supervisor. This position is essential in fostering a welcoming atmosphere that aligns with CAI's commitment to supporting diverse families and child care providers. The ideal candidate will exhibit strong organizational skills, the ability to manage multiple tasks efficiently, and a dedication to providing exceptional customer service.

Key Responsibilities:
  • Provide comprehensive administrative support across various departments, including Operations and Client Services.
  • Oversee the procurement of office supplies for multiple departments.
  • Manage the processing of Attendance Forms, ensuring accuracy and compliance with established guidelines.
  • Facilitate effective communication by managing incoming and outgoing correspondence.
  • Address issues related to Attendance Forms, ensuring all necessary information is complete and accurate.
  • Maintain records and assist in the organization of off-site storage for documents.
  • Handle confidential information with the utmost discretion.
  • Coordinate the delivery and processing of agency mail.
  • Monitor and replenish supplies for office equipment.
  • Assist in training new staff members in operational roles.
  • Greet visitors and provide direction to appropriate personnel.
  • Participate in staff meetings and contribute to team objectives.
  • Perform additional duties as assigned.
Qualifications:

Education & Experience:
  • High school diploma or equivalent with three years of relevant experience in a fast-paced office environment.
  • Experience in a multi-line telephone or call center setting is preferred.
  • Possession of a valid driver's license and insurance is required.
Skills & Abilities:
  • Proficient in Microsoft Office Suite and familiar with standard office practices.
  • Strong verbal communication skills and a customer-oriented approach.
  • Ability to maintain confidentiality and work collaboratively with diverse teams.
  • Capacity to manage multiple tasks and meet deadlines effectively.
  • Willingness to work additional hours as needed.
Physical Requirements:
  • Primarily sedentary work with occasional light physical effort.
  • Ability to lift and carry files as needed.
  • Visual acuity to operate standard office equipment and review documents.
