Position Summary
We are currently seeking an Executive Assistant who will be instrumental in ensuring that business operations run smoothly and efficiently. This role is integral to a team of esteemed Executive Assistants.

Key Responsibilities
  • Deliver comprehensive administrative support to C-Level executives.
  • Maintain exceptional organization and efficiency in managing schedules, calendars, and daily tasks for senior leadership.
  • Prioritize and manage incoming communications, including emails, phone calls, and correspondence.
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Coordinate and arrange meetings, appointments, and travel logistics for senior executives.
  • Prepare and refine various documents, presentations, and reports for C-Level executives.
  • Communicate professionally with internal and external stakeholders, representing senior leaders effectively.
  • Anticipate the needs of C-Level executives and proactively address those needs.
  • Initiate improvements to streamline processes and enhance operational efficiency.
  • Collaborate with team members to ensure seamless support for senior leadership.
  • Manage and oversee expense reports and reimbursement processes.
  • Act as a liaison for employees, clients, and external partners regarding senior leadership matters.
  • Stay informed on company policies, procedures, and initiatives to accurately represent senior leaders.
  • Facilitate communication between senior leaders and other departments within the organization.

Qualifications
  • 8-10 years of relevant experience in an executive support role.
  • Professional demeanor with a high level of energy and enthusiasm.
  • Outstanding verbal and written communication skills, with a focus on building relationships.
  • Collaborative team player, confident in engaging with senior leaders and intermediaries.
  • Ability to effectively prioritize competing tasks and assign urgency levels appropriately.
  • Strong customer service orientation, with attention to detail and quality outcomes.
  • Proactive problem solver with resourcefulness and intellectual curiosity.
  • Exhibit a high degree of integrity and discretion in handling confidential information.
  • Proficient in MS Office applications, including Outlook and Excel.
